Graduates' Guide
Dear Graduate,
Congratulations on the completion of your degree at IBA! With the pandemic affecting everyday life, the convocation 2021 is being organized under strict protocols. Please cooperate with the management team and ensure strict compliance with SOPs throughout the event.
The following steps outline the registration process for the convocation ceremony:
Step 1: Check your name in the list of graduating students on the homepage under your relevant batch list on the website.
Step 2: Given the situation, it is mandatory to submit your scanned Covid Vaccination Certificate (certificate number & attachment) and CNIC copies and particulars for your online registration.
Please fill in the correct information as all data submitted will be cross-checked by IBA staff.
Step 3: Click the 'Online Registration Link' and fill up the required information. Please ensure that you fill the correct CNIC numbers when filling the form otherwise your entry may be restricted on the day of convocation.
Once the registration application is successfully submitted, the portal will generate an "E-Invitation Card" for you. Each E-Invitation Card has a unique QR code that will let you enter the premises only once. You will not be able to use a single QR code more than once. Therefore, please ensure that you do not share it with anyone else. In keeping with SOPs, we have attempted to reduce the points of contact for your entry.
Please register with the email that you are actively using and regularly check so you receive all updates regarding the convocation promptly.
Step 4: Before registering, please ensure that all your dues are already cleared. If the online registration link does not process your request, please contact any of the following (depending on your situation, as you notice on the portal:

If you are a graduate for Convocation 2021 and your name is not listed, then please contact examination department during office hours at your earliest convenience.
Step 5: If you are unable to register due to outstanding dues/observations, please clear these dues. You will be able to complete the registration process 24 hours after you clear the concerned dues/observation.
Step 6: Once the registration is complete, you will be able to get your E-Invitation Card once the registration closes.
Step 7: The Academic Regalia (Gown, Headgear & Hood) should be picked from the Adamjee Academic Block from February 11th, 2022, to February 18th, 2022 between 3:00 p.m. and 7:00 p.m. (Including Saturday and Sunday) after a cash payment of Rs. 2500 is made (Rent: Rs.500 and Refundable Deposit: Rs. 2000).
Step 8: Arrive at the convocation venue (Abdul Razzak Tabba Academic Block) at least one hour before the appointed time. You should arrive at the venue dressed in formal and wearing the academic regalia (gown, hood and head gear) – Instructions for wearing the academic regalia will be communicated in due course.
SOPs: Please ensure that all Standard Operating Procedures are followed. All graduates must wear a mask. Please refrain from shaking hands and ensure that you always adhere to all social distancing protocols. A breach in protocol will not be tolerated.
Dress Code: Wearing the academic regalia is compulsory for all graduates attending the convocation ceremony. Graduates who are not appropriately dressed for the occasion will not be allowed to attend the convocation.
All graduates should follow the dress code mentioned below:
- For gentlemen: long-sleeve shirt with collar, tie and long pants with dress shoes.
- For ladies: long-sleeve shirt or blouse with collar, long pants/shalwar with court shoes.
- No casual pants/jeans, t-shirts, polo shirts, shorts.
- No slippers, sneakers, canvas shoes, sports shoes, sandals.
- We strongly encourage you to iron your regalia for a smart and presentable look.
Note: The academic regalia looks good with a white shirt/blouse.
Returning the Academic Regalia: The Academic Regalia comprises of the gown, headgear and the hood. It is recommended that the academia regalia be returned to the gown vendor right after the ceremony. The vendor will be present on campus till 10 p.m. in the Adamjee building on the day of convocation. You can also return the gown from 20th February 2022 to 23rd February 2022 at the main campus from 01:00 p.m. to 6:00 p.m. In case you cannot return the regalia in the dates mentioned above, you can return the regalia directly at the vendor's shop– shop address will be communicated in due time.
Photography: An official photographer has been engaged for the purpose. Graduates are not allowed to step forward and take photographs of their peers during the convocation.
OFFICIAL BATCH PHOTOGRAPHS will be taken after you receive your scrolls. The venue will be communicated to you via email.
Photo booths will be set up in the Adamjee Foyer for the OPTIONAL FAMILY PHOTOGRAPHS that can be taken at the end of the ceremony.
Parking: The following arrangements will be in place:
On the convocation day, vehicles of graduates are to be parked outside the campus in a marked parking area opposite Gate 2.
Procession: It is advised that handbags/hand carries should not be carried during the procession.
Souvenirs: Souvenirs are to be promptly collected from the exit gate (Gate # 3A) before leaving the venue.
Graduates' guests: During the online registration, each graduate may invite a maximum of two guests. Names, Covid Vaccination Certificate, CNIC copies and particulars of these guests are to be submitted for security clearance. On the day of the convocation, it is mandatory that these guests carry the original copy of their respective CNICs. Any exchanging guest invitation cards with those whose names were not provided at the time of online registration will not be possible. (1 guest will be primary guest and another guest will be secondary guest).
Rehearsal: It is mandatory for you to attend the rehearsal that is scheduled for Thursday, February 17th, 2022, at 3:30 p.m., at UBL Sports Complex Cricket Ground, Main Campus, IBA Karachi. It would help you with the awareness about the activities that would take place on the day of convocation. This rehearsal shall only be attended by the graduates and not their guests.
