Graduate's Guide

Dear Graduate,

Congratulations on completing your degree and becoming a part of the IBA's prestigious alumni network. The following process will help you streamline the registration process for the upcoming convocation ceremony:

Note: Students who have completed their degree requirements in Fall 2025, Spring 2026 or Summer 2026 are eligible for the Convocation 2026.

Please register with the email that you are actively using and regularly check so you receive all updates regarding the convocation promptly. Also, provide an alternate email address at the time of registration.

Step 1: Click the 'Online Registration' and log in using your ERP ID and Password to proceed with the registration process.

Please fill in the correct information as all data submitted will be cross-checked by IBA administration.

Step 2: After successfully logging in, a dashboard will open. Fill in all the required information for yourself and your guests.

Once the registration application is successfully submitted, the portal will generate an "E-Invitation Card". Each E-Invitation Card has a unique QR code that will let you enter the premises only once. You will not be able to use a single QR code more than once. Therefore, please ensure that you do not share it with anyone else.

Please ensure that you enter the correct CNIC numbers when completing the registration form, as incorrect CNIC details cannot be changed later and may restrict your entry on the day of convocation.

Once the registration application is successfully submitted, the information provided will be verified by IBA administration. Upon successful verification, the “E-Invitation Card” will be generated on the portal as per registration deadline. Each E-Invitation Card has a unique QR code that will allow entry to the premises only once. A single QR code cannot be used more than once. Therefore, please ensure that you do not share your E-Invitation Card or QR code with anyone else.

Late Registration Fee: A fine of Rs. 15,000 will be applicable to graduates who complete their registration after the prescribed registration deadline.

Note: Graduates will be receiving their E-invites after the deadline along with the verification of the data.

Please ensure that you PRINT the E-invitation for yourself and your guests for security clearance on the day of convocation as the code(s) will be scanned.

Step 3: Before registering, please ensure that all your dues are already cleared. If the online registration link does not process your request, please contact the concerned department (depending on your query, as per the portal):

Step 4: If you are unable to register due to outstanding dues/observations, please clear these dues. You will be able to complete the registration process 3-5 days after you clear the concerned dues/observation.

Step 5: Once the registration is complete, you will be able to get your E-Invitation Card.

Step 6:The Academic Regalia (Gown, Headgear, Hood & Stole) are to be picked from Breakout - 8 of the Adamjee Academic Block from November 28th 2026, to December 4th, 2026, between 3:00 p.m. and 7:00 p.m. after a cash payment of Rs. 3200 is made (Rent: Rs.700 and Refundable Deposit: Rs. 2500).

Note: Please be advised that the ribbon color designated for undergraduates is blue, while the ribbon color for graduates is maroon. Additionally, you may collect items on behalf of a friend/relative only if you provide a physical copy of their IBA ID card and CNIC.

Step 7: Arrive at the convocation venue (Abdul Razzak Tabba Academic Block) at least one hour before the appointed time (kindly refer to Minute-to-Minute Program). You should arrive at the venue dressed formally and wearing the academic regalia (gown, stole, hood and head gear) - Instructions for wearing the academic regalia will be communicated in due course.

Dress Code: Wearing the academic regalia is compulsory for all graduates attending the convocation ceremony. Graduates who are not appropriately dressed for the occasion will not be allowed to attend the convocation.

Note: The academic regalia looks good with a white shirt/blouse.

Returning the Academic Regalia: It is recommended that the academia regalia be returned to the gown vendor right after the ceremony. The vendor will be present on campus till 10 p.m. in Breakout - 8 of the Adamjee Academic Block on the day of convocation. You can also return the gown from 6th December 2026 to 8th December 2026 at the main campus from 01:00 p.m. to 6:00 p.m. In case you cannot return the regalia in the dates mentioned above, you can return the regalia directly at the vendor's shop – the shop address will be communicated in due time.

Photography: An official photographer has been engaged for the purpose. Graduates are not allowed to step forward and take photographs of their peers during the convocation.

Photo booths will be set up in the Football Ground for the OPTIONAL FAMILY PHOTOGRAPHS that can be taken at the end of the ceremony.

Parking: The parking arrangements will be communicated via email.

Procession: It is advised that handbags/hand carries should not be carried during the procession.

Souvenirs: Souvenirs shall be promptly collected from the exit gate (Gate # 4) before leaving the venue after the ceremony.

Graduates' guests: During the online registration, each graduate may invite a maximum of two guests. Names, CNIC copies and particulars of these guests shall be submitted for security clearance. On the day of the convocation, it is mandatory that these guests carry their original CNICs. Any exchange of guest invitation cards with those whose names were not provided at the time of online registration will not be possible.

Rehearsal: It is mandatory for you to attend the rehearsal that is scheduled for Thursday, December 3rd, 2026 at 3:30 p.m., at UBL Cricket Ground, Main Campus, IBA Karachi. It would help you with the awareness about the activities that would take place on the day of convocation. This rehearsal shall only be attended by the graduates and not their guests.
